HeimdallHR is a modern, modular HR platform for growing UK businesses. You start with Core — employee records, leave and absence, onboarding, documents and reporting — and add only the modules you need, from recruitment and timesheets to performance and compliance.
Employee directory and profiles, leave and absence management, org chart, onboarding and offboarding, document storage, probation tracking, return-to-work and fit notes, built-in reporting, and bulk employee import. Core is the foundation every plan includes.
Growing UK businesses — typically teams that have outgrown spreadsheets but don't want enterprise-suite complexity. Self-serve pricing covers up to 500 employees; for larger organisations we put together a tailored quote.
Yes — it is UK-first, not a localisation. That includes Right to Work checks, DBS tracking, Working Time Regulations monitoring, Bradford Factor scoring, ACAS-aligned disciplinary and grievance case management, and EDI reporting.
Yes — and not just mobile. HeimdallHR has native apps for iPhone, iPad, Apple Watch, Apple TV and Mac, plus an Android app, all included with every subscription alongside the web application. Employees request and approve on the move, teams clock in from the wrist, and offices put live HR boards on the wall.
Pricing is per employee, per month. Core is £2.30 per employee/month on annual billing, and add-on modules are priced individually from £0.05 per employee/month — no bundles, no forced tiers. Monthly billing is available at a higher rate. See the pricing page for the full list and a cost calculator.
No. Every add-on is priced separately, so you pay for Core plus exactly the modules you switch on — nothing else.
Yes. The modular model is designed for that — start with what you need today and switch modules on as your team or processes grow.
Self-service signup is coming; right now the best way to evaluate HeimdallHR is a personalised demo. Request one and we'll come back within one business day — you'll also get an interactive tour built around the modules you pick.
Request a demo via the See a Demo page. You choose the features you care about, explore an interactive tour of the real product, and our team then walks you through the rest live — your questions, your processes.
Yes. HeimdallHR is built for UK GDPR: role-based access to sensitive records, audit trails, and data processed under a Data Processing Agreement with your business as the controller.
Within the UK or the European Economic Area, with encryption in transit and at rest.
Yes. The built-in import wizard takes your existing spreadsheets — upload, map the columns, validate, done. It is designed for migrating from spreadsheets or another HR system without re-keying.
Access is role-based: employees see their own records and self-service tools, managers see their team, and HR/admins control the rest. Sensitive areas such as occupational health carry additional access controls.
Yes. Approvals, compliance checks and record changes are logged, so questions like “who approved this and when” are answerable in seconds — and extended audit logs are available with the Advanced Reporting add-on.
Yes — self-service is central to the product. Employees request leave, submit timesheets and expenses, sign documents, complete training and keep their own details current, which is where most of the admin saving comes from.
Employees request time off in a couple of clicks, managers approve from a single queue, and balances, carry-over, pro-rata entitlements and TOIL are calculated automatically against the policies you configure. A team calendar shows who is off at a glance.
Yes. The Multi-Level Approvals add-on supports sequential, parallel and conditional approval chains with routing policies (for example, larger expense claims go higher), plus delegation so requests keep moving when an approver is away.
HeimdallHR does not process payroll. It does track compensation — structured pay reviews, benefits administration and total reward statements — and its reports and exports give payroll everything it needs from HR.
Yes. The API & Webhooks add-on provides a REST API covering every resource, webhooks for every event, OAuth for secure access, and a sandbox environment with test data for your engineering team to build against.
